    Processing of personal data in the image bank

    1. Personal data of users of the image bank. Persons registered as users of the Ministry of Justice image bank can download and share the ministry’s images and other visual materials. Only persons who have a valid reason to use the materials of the Ministry of Justice image bank are accepted as users.

    2. The purpose of the processing of personal data is the identification of users of the image bank and the definition of access rights.

      Personal data can be accessed (read and edited) using login details with image bank maintenance rights, which have been assigned to a few public officials at the Ministry of Justice. In addition, the system supplier has access to personal data.

    3. Personal data related to the materials of the image bank.

    4. The image bank contains portrait photographs of the Minister of Justice and leading public officials, as well as those public officials whose pictures are used in the ministry’s communications. The data provided with the portrait photographs include the name, title and, if applicable, department of the person appearing in the image. In addition, the photographer’s name is mentioned. This personal data is used to identify, maintain and share the portrait photographs. The portrait photographs of the Minister and the Permanent Secretary are accessible to all public officials of the Ministry of Justice via the intranet. These images are also located in the public section of the image bank, which is openly accessible from the website of the Ministry of Justice. Other portrait photographs can only be accessed by the ministry’s Media and Communications Unit.

      The image bank also contains the ministry’s themed images, which can be used to illustrate, for example, the ministry’s work and activities. The names or other details of the people appearing in these photographs are not shared in the image bank. The photographer’s name is mentioned in connection with the photographs. The themed images are generally not provided to third parties but are used in the ministry’s communications and work materials. However, they may be provided to third parties in the event that the photographs are used under the guidance of the Ministry of Justice and the use of the photographs is related to reporting on the activities of the ministry. The personnel of the Ministry of Justice have access to the themed images via the intranet.

    Personal data is processed in accordance with Article 6(1)(e) of the General Data Protection Regulation. The processing is necessary for the performance of a task carried out in the public interest or for the exercise of official authority vested in the data controller.

  11. Data stored in the register
    1. Personal data of users of the image bank. The name and email address of the persons (data subjects) are stored. If the data subject is from outside the Ministry of Justice, the name (organisation), title and phone number of the person’s employer are also stored.

    2. Personal data related to the materials of the image bank. The data stored for portrait photographs include the name, title and, if applicable, department of the person in the photo. The photographer’s name is usually also mentioned in connection with the photograph, at least when the photographer is from outside the ministry.

  12. Access to personal data
    1. Personal data of users of the image bank. The information has been obtained from persons who have requested to register in the image bank.

    2. Personal data related to the materials of the image bank. The information is collected in connection with taking the picture. The person appearing in the image is photographed in the role of a public official. The photographer is either a public official or an external service provider.

  13. Disclosure of data
    1. Personal data of users of the image bank. The data of data subjects is not disclosed or transferred outside the EU or EEA.

    2. Personal data related to the materials of the image bank. The data of the public materials of the image bank and the photographs of the Minister and the Permanent Secretary are available globally through the ministry’s website. In addition, the Media and Communications Unit may provide other portrait photographs to third parties. With the release of these portrait photographs, the name, title and, if applicable, department of the person appearing in the image are also transferred. In addition, the photographer’s name is transferred with the photograph. Photographs may be provided for news and information purposes or to stakeholders, such as event organisers, if the person appearing in the image is, for example, a speaker in a seminar. The public officials appearing in images gave their consent to the use of the images when they were photographed and, in the case of portrait photographs, also to any provision of photographs as described above. Procedures for mentioning the photographer’s name were agreed with the photographer.

  14. Storage of data
  15. Personal data will be deleted from the register if the image bank service is terminated or when it is found that the user no longer works at the ministry or that the storage of the image in the image bank is no longer appropriate.

  16. Rights of data subjects
  17. Data subjects have the right to request the deletion of personal data concerning them. More information about the rights of data subjects is available at Kampus.

    In matters concerning the deletion and processing of data, data subjects may contact the contact person of the register.
